Terms of Sponsor / Exhibitor Agreement:
Signed acceptance of these terms is required. Please complete the contract section on page 6 of this document and
submit it by fax or mail to the contact information provided on the previous page.
Purpose of Exhibits
The Exhibit Hall is an extension of the educational component of the conference, enabling attendees to examine and
evaluate the latest advancements in equipment, supplies and services related to their profession.
Sponsor & Exhibitor Company Description, Link & Logo :
Please provide a short description (100 words or less for sponsors and 50 words or less for exhibitors) of your company
with information on products or services available to our members. This information will be included in the syllabus.
The information will also be posted on the OsteoCircuit website. Due to our syllabus printing deadlines, this
information must be submitted no later than 31JAN15. We will also like you to provide the link to your company
website. Please note that the earlier you provide the information the longer the information will posted on the
OsteoCircuit website.

Exhibitor Signage:
Space in the exhibit hall is limited therefore we need to restrict signage to a maximum of 2 bannerstands or one
maximum 8ft wide backdrop sign. This restriction does not apply to conference sponsors. Please see the outline
provided at the beginning of this document for more detail on sponsor and exhibitor entitlements. If your signage
does not meet the required criteria please contact Aileen Conway at [email protected] to discuss the possibility of
making alternate arrangements. Please make contact with Aileen prior to submitting your registration and payment.

Exhibitor Passport Prize:
In order to encourage attendees to visit all of the exhibit booths we will offer passport prizes. Attendees will be
required to visit the booths of all sponsors or exhibitor that donate a passport prize in order to qualify for the draw. A
list of the sponsors and exhibitors donating prizes will be included in the exhibitor passport. If you wish to donate an
Exhibitor Passport Prize, we ask that you inform us of your intention to do so by March 27th, 2015 and include a
description of the prize. You can deliver the prize to Aileen Conway before noon on Saturday, May 30th, 2015.
Delegate Bag Inserts:
If you wish to provide a delegate bag insert you will receive instructions for shipping your inserts in a separate email.
Please do not ship your inserts with your booth materials as the inserts will be required a few days prior to exhibitor
move in. The deadline for submitting Delegate Bag Inserts will be April 17, 2015. The exhibitor is responsible for all
costs associated with the shipping and printing of delegate bag inserts.
Cost for Delegate Bag Inserts: $125.00 flat fee.
Additional Exhibit Staff:
As a sponsor or exhibitor you will receive 2 complimentary registration badges for 2 exhibitor attendees. These
registration badges will include attendance to all general sessions, as well as the food and beverage listed under
“Sponsor or Exhibitor Entitlements. Please provide the names of your exhibit staff by January 31, 2015.
It is possible to register up to 2 additional exhibit staff for a fee of $250.00 per person. This fee will includes access to
all general sessions and the food and beverage outlined under ”Sponsor or Exhibitor Entitlements”. This fee does NOT
include any accommodation or additional entitlements.

Hotel Liability:
The “Exhibitor” assumes the entire responsibility and liability for losses, damages and claims arising out of the
“Exhibitors” activities on the on hotel premises and will indemnify, defend and hold harmless the hotel, its owner and
its management company, as well as their respective agents, servants and employees from all such losses, damages
and claims.
The hotel will not be responsible or liable for any loss, damage or claims arising out of the “Exhibitors” activities on
the hotel’s premises except for any claims, loss or damages arising directly from the hotel’s own negligence.
Due to the layout of the hotel, storage space is not available for display materials and/or show merchandise. At the
conclusion of the set-up operation, all related equipment, crates, garbage, etc, must be removed from the premises no
later than the last day of the exhibit show period.
Dismantling of Exhibits:
Dismantling, loading and departure of displays and exhibits must be complete by the 6.00pm on Sunday, May 31st,
2015. Please note that displays must not be dismantled prior to the final break on Sunday, May 31st, 2015. If exhibits
have not been removed from the hotel by the time agreed upon, the hotel will have them removed at the expense of
the “Exhibitor”. The hotel will not be responsible for any loss or damage done during the removal. If you need to
make arrangements to store your equipment after the event please contact Aileen Conway at [email protected] or

In the event that you need to ship material back after the event, please ensure you have the following:

Travel Arrangements:
Due to the fact that this is the first conference of its kind in Canada, we ask that you do not make any travel plans until
OsteoCircuit have confirmed to you that the minimum number of required attendees has been met. November 30th,
2014 is the Early Registration deadline. OsteoCircuit will contact you via email on or before December 15th, to confirm
that it is okay to proceed with making non-refundable travel arrangements. The hotel offers a very flexible cancellation
policy therefore we recommend that you make your hotel reservations as early as possible.
Conference Hotel Reservations:
OsteoCircuit has secured a block of rooms at the Hilton Toronto Airport & Suites Hotel. The hotel is offering conference
attendees the rate of $125.00 plus tax for a standard room with either 1 king bed or 2 double beds. The rate include
free internet and parking for the duration of your stay. The rate is valid for single or double. Additional guests staying
in the room can be accommodated for an additional charge. Cancellation penalties do not come into effect until closer
to your arrival date. OsteoCircuit has a limited amount of rooms reserved at the conference rate therefore we

Event Cancellation:
Should any situation beyond the control of OsteoCircuit arise to prevent the event from taking place, OsteoCircuit will
